Position Description

AV Missouri seeks a well-organized, self-starter for the full-time position of Office Coordinator.  This position reports to the Missouri State Director and works in partnership with national and state staff to manage the administrative operations, including compliance, of the state program and its offices.

 

Duties and Responsibilities

 

Office Administration

  • Direct the day-to-day administrative operations of the state office.
  • Research, bid, analyze, and make recommendations on purchase and/or lease of services, equipment, furniture, and supplies.
  • Maintain inventory of office supplies.
  • Assist with compliance and financial budgeting and reporting.
  • Operate and maintain standard office equipment.  Troubleshoot and resolve problems with vendors.  Provide training to staff on all office equipment.
  • Serve as liaison to property manager. Oversee leasehold improvements.
  • Assist with preparation and logistics for special events, travel, conference calls and state-wide meetings.
  • Answer and screen phone calls and respond to requests for general America Votes information.
  • Work with state and national staff for all other AV administrative needs.
  • Provide Scheduling for State Director, Work Groups and State Table Meetings

 

Human Resources

  • Work with national staff to coordinate personnel and human resource functions, including payroll, reimbursements, and benefit paperwork.
  • Know, interpret, and apply organizational personnel policies.
  • Serve as central mailbox for resume review and response.  Maintain resume folder on the network.  Route resumes to appropriate staff and/or for review.

 

Other

  • Assist State Director and staff as needed
  • Other duties as assigned by the State Director

 

Qualifications

  • Minimum two years experience as an office manager, office assistant, staff assistant or other relevant experience preferred.
  • Bachelor’s or associate’s degree preferred but not required.
  • Comfort and familiarity managing computers, copiers, fax machines and other office equipment.
  • Must manage time efficiently, have excellent organizational skills, attention to detail and ability to manage multiple tasks simultaneously.
  • Computer proficiency, including MSOffice, Outlook, Excel, and Internet tools; must have database and spreadsheet experience.
  • Excellent communications skills, both orally and in writing; must have strong word processing, presentation, and editing/proofreading skills.
  • Experience in nonprofit environment is desirable.
  • Dedication to enhancing the progressive community in Missouri is a must.
  • Must be willing to work long and sometimes irregular hours during the campaign season.
  • Must approach job with professionalism, a good attitude and the ability to work well with others.
  • Sense of humor.

 

Compensation

Salary is commensurate with experience.  Benefits include health, dental, vision and 401K.
