POSITION SUMMARY
The Executive Director will have oversight for local and state organizations with a $150,000 combined budget.
The Executive Director will coordinate and supervise operations of the League of Women Voters of Missouri and St. Louis and manage the office, work with boards and volunteers, handle community relations and outreach; maintain office equipment; and provide voter information. The League of Women Voter's office is located in St. Louis, MO.
A college degree and non-profit experience required.
Salary is $25,000-$27,000
Job Description:
Basic Function and Responsibility
To coordinate and supervise operations of, and provide staff leadership for, the Joint Office of the League of Women Voters. This consists of the League of Women Voters of Missouri (LWVMO), the League of Women Voters of Missouri Education Fund (LWVMO Education Fund), the League of Women Voters of St. Louis (LWV St. Louis) and the League of Women Voters Information Service (LWVIS) and to provide significant staff assistance in the operations of those non-profit corporations.
Office Operations:
* Keep office files current and organized. Current documents need to be provided by portfolio managers.
* Keep office work areas organized and well-maintained.
* Distribute mail; follow up as appropriate. Notify recipient that mail has been received.
* Respond to telephone requests for information, publication orders, messages for others.
* Record all financial donations, sending appropriate acknowledgements.
* Update existing membership databases and create others as needed.
* Coordinate mailings to members or others.
Computer and Office Equipment:
* Maintain office equipment work with Joint Office Committee on major repair/purchases.
* Update the various membership databases.
* Stay current and skilled on the computer programs used by the League Office.
* Keep League records current and in good order in computer files.
* Maintain and update web site for all entities.
Staff/Volunteer:
* Maintain staff schedules and timesheets.
* Supervise, inspire and assign appropriate duties to other staff and volunteers.
* Supervise, train and evaluate any League staff and/or interns.
* Provide input to the Officers, Boards, Committees and volunteers on key decisions.
* Attend key meetings of governing bodies to provide information and support. (LWV joint office, board meetings, council/state meetings, annual meetings, public meetings, and other meetings on request)
* Work with League members on training of volunteers.
Public/Community Interaction:
* Provide courteous, prompt attention to callers, visitors and volunteers.
* Stay abreast of LWV positions, practices and policies. Refer complaints and inquiries requiring interpretation of policies and procedures. Work with board president(s) and appropriate others as directed on these matters.
* Assist in composition and/or distribution of public information pieces.
* Distribute press releases as requested; keep distribution lists current.
* Coordinate press conferences, community outreach events or speaking opportunities as arise.
* Assist volunteers in coordinating spokespeople, materials and League interface in media and community outreach.
Program Support:
* Coordinate office and support needs for activities (gather materials, event set up).
* Work with Officers, Boards, Committees and volunteers to follow the procedures of the League in all programs.
* Facilitate the coordination of volunteers at all levels in order to carry out the programs.
* Assist in the preparation and distribution of the monthly newsletters, as necessary.
* Assist members with program preparation needs (e.g., photocopying, collating, preparation and/or distribution of correspondence).
Financial:
* Work with Joint Office Committee to develop an office budget.
* Do or oversee bookkeeping for LWVMO, LWVMO Education Fund, and Joint Office.
* Assure payroll payments and payroll taxes are made in a timely manner.
* Arrange for bids on projects as needed.
* Work with League members on grant/funding requests by providing up-to-date office information for grants, and assist with distribution of grant requests.
Qualifications:
* Ability to communicate and interact in a positive, energetic and professional manner.
* Basic knowledge of government system/structure/procedures.
* Strong critical thinking and organizational skills.
* Ability to research, organize and analyze data.
* Ability to research other agencies and network with them.
* Ability to work with others, as well as independently.
* Ability to maintain a high level of confidentiality.
* Ability to follow written/verbal direction.
* Ability and willingness to give direction and to provide advice.
* Ability to work a flexible schedule.
* Willingness to learn new skills.
* Ability to successfully use Microsoft Office software (Word, Excel, Publisher, Quick Books, database systems and the internet); the ability and willingness to research and learn new software programs appropriate to membership service is critical; association-specific software skills are a plus.
* Ability to work in multi-faceted environment with many interruptions.
* Understanding of basic bookkeeping and accounting; ability to understand a balance sheet.
* Knowledge of the organization’s mission, purpose and program is considered an advantage.
* Experience supervising at least one employee for one or more years.
* Minimum two years successfully managing an office (or similar fiscal/administrative experience)
* College degree; non-profit experience.
Supervision:
General supervision provided by the “Joint Office Committee”—comprised of the presidents and treasurers of the four corporations listed under “Job Description” above. The office manager will work with the two presidents to prioritize project timing.
Physical Requirements to Perform Duties:
* Able to lift up to 20 pounds with relative ease.
